Privacy notice

How we use and protect personal information.

Last updated: 11 June 2026. This is a practical template for the current static website and must be reviewed when contact details, forms, payments or third-party tools are activated.

Who is responsible

Information you provide

This may include your name, contact details, event date and location, guest numbers, budget, service choices, messages, accessibility or dietary requirements, supplier information, contract details and payment records.

Information from others

Where needed for an event, a client, venue or supplier may give us contact or practical information about guests and other people involved. Please avoid sharing information that is not necessary.

Sensitive details

Dietary, allergy, health, religious or accessibility information can be sensitive. Only provide what is needed for safe and suitable event arrangements, and make sure you have authority to share another person's details.

Use and lawful basis

Why we use personal information

Enquiries and bookings

We use details to respond, prepare estimates, discuss requirements, take steps requested before a contract, manage a booking and deliver agreed services. The usual basis is taking steps before, or performing, a contract.

Running the business

We may keep records, manage suppliers, protect our rights, prevent misuse and improve our service where this is necessary for legitimate business interests and does not override your rights.

Legal and safety duties

We may process or retain information to meet tax, accounting, insurance, safeguarding or other legal obligations, or to protect someone's vital interests in an emergency.

Marketing

We will only send optional electronic marketing where we have a valid lawful basis. You may opt out at any time. [PLACEHOLDER - confirm whether La crème Events will send marketing]

Photography and testimonials

Event images, names or testimonials will not be published merely because someone attended an event. Appropriate permission and any supplier usage rights should be confirmed before publication.

No automated decisions

The current quote calculator applies preset pricing rules in your browser. It does not make decisions about you with legal or similarly significant effects.

Current website

The website does not store form data

This is currently a static website with no active form-processing backend. The contact form can prepare a WhatsApp message, but you choose whether to send it and WhatsApp then handles the message under its own terms. The quote calculator works in your browser, and its generated summary remains on the page for the current session unless you copy it elsewhere. Do not assume an enquiry has been received until La crème Events confirms it through an active contact channel.

The site includes a Google Analytics-ready code hook, but analytics is not active while the measurement ID remains blank. The site is not currently connected to a CRM, payment provider, mailing list or advertising platform. This notice must be updated before any such integration is enabled.

Sharing and storage

Who may receive information

Event suppliers

Once services are active, necessary details may be shared with venues, caterers, decorators, photographers, entertainers, transport providers, staffing providers and other suppliers involved in the event. Suppliers may act as separate data controllers under their own notices.

Business providers

Hosting, email, bookkeeping, payment, document-storage or professional advisers may process information when those services are introduced. [PLACEHOLDER - list actual providers and international transfer safeguards before launch]

Authorities and claims

Information may be disclosed where required by law, to insurers or advisers, or where reasonably necessary to establish, exercise or defend legal claims.

Retention and security

How long information is kept

We should keep personal information only for as long as needed for the purpose collected, including legal, tax, insurance and dispute requirements. [PLACEHOLDER - confirm and insert actual retention periods for unsuccessful enquiries, client files, contracts, invoices, supplier records, photographs and marketing preferences].

Reasonable organisational and technical safeguards should be used, but no internet or storage system can be guaranteed completely secure. Please do not send payment-card details or unnecessary sensitive information by ordinary email or WhatsApp.

Your choices

Your data protection rights

Depending on the circumstances, you may have rights to ask for access to your personal information, correction, deletion, restriction, transfer, or to object to its use. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful use. Some rights have exceptions.

Send a request to [PLACEHOLDER - insert privacy email address]. We may need to verify your identity. You may also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint/, although we would appreciate the opportunity to address the concern first.

Important template status

This page is general drafting support, not legal advice and not a guarantee of compliance. La crème Events should verify that it accurately reflects real business practices, complete every placeholder, carry out a data and cookie audit, and obtain professional advice where appropriate. Material changes should be dated and brought to affected people’s attention where required.
